Pre-registration

Congress Delegates are encouraged to pre-register as early as possible using the on-line congress registration system which is now operational under  http://intranet.iucn.org/kb/app/item/congress/.

Participants without access to on-line booking facilities can contact the IUCN Congress Registration Office (c/o JPdL) or their nearest IUCN office for assistance.

Please note that pre-registration is only possible for participants whose registration details and full payment have been received by the IUCN Congress Registration Office (c/o JPdL) by 25 September 2008. After this date, registration will only be possible on site in Barcelona at slightly higher registration fees.

Registration Fees

According to selected Forum and/or Members’ Assembly category, the active participant’s registration fee includes:

  • Participation to all public sessions/events*
  • Access to the Pavilions and the Exhibition*
  • Access to Opening and Closing Ceremonies with seating priority given to IUCN members and Commissions members (according to building/room capacity and security measures)
  • Set of pre-, during, and post-Congress documentation (electronic formats by default)

Fees do not include:

  • Spanish VAT (Value Added Tax) has been exempted according to article 20.1-14d of Bill 37/1992, of 28 December, of the Value Added Tax (Spain)
  • Airport transfers
  • Local transportation to the Congress venue
  • Meals
  • Accommodation
  • Pre- and Post-Congress tours

Please be aware that the online registration fees will only be available up to 25 September 2008. After this date the fees will be increased to “onsite fees” rates. During the week prior to the Congress (26 September - 4 October), response time for registration queries will be affected as the Registration Office moves to Barcelona for set-up.
Payment by bank transfer will cease to be an option after 12 September 2008.

* Spanish VAT (Value Added Tax) has been exempted according to article 20.1-14d of Bill 37/1992, of 28 December, of the Value Added Tax (Spain) on any fee for registration, cancellation, name change/lost badge and to the bank transfer fee. This will be showing on the payment screen. Voluntary contribution to Neutral Carbon Congress is not subjected to VAT.

** Observers do not have voting nor speaking rights and will not be allowed to attend meetings of the contact groups.

1 You may be requested to present verification of being employed/associated with a not-for-profit organization, foundation, NGO, UN agency, government, public university/education centre.

2 Registration for Youth is only valid during the Forum (5-9 October 2008), carries the same entitlements as those for active participants except that the participant will not be recognized as part of a member’s delegation or Commission. It will be applicable to all participants born after Oct 5, 1983. You must provide proof of your date of birth by means of a photocopy of an official document (passport, identity card, etc.) to obtain this discount at the time of registering.

Payment Options

All registration fees must be paid in advance in Euros (€).

  • By credit card: Payment is accepted by VISA and/or MasterCard credit cards and can be done via the secured payment tool (WorldPay) provided while registering on-line. Please note that your credit card will be debited in Euros (€) and your monthly credit card statement will show your payment under WorldPay “wp-IUCN Congress Reg Fee”.

  • By bank transfer: You must quote as a reference your Registration N°, first and last names so payment can be identified and traced correctly to your registration account. Bank transfers are accepted in EUROS (€) only and must include all bank charges.
    An administrative fee of EUR 15.00 applies to all bank transfer payments and must be included in the full amount transferred.

  • By cash: This form of payment will only be accepted in Euros (€) and on site during the operation hours of registration desks and payment offices (to be determined by July 2008).

We regret that we are unable to accept personal cheques, Eurocheques, company cheques and banker’s drafts.

Confirmation of Registration

Upon completing the on-line registration, each participant will receive by email an automatically generated confirmation of registration. The registration becomes active only when full payment has reached the IUCN Congress bank account (whether by credit card or by bank transfer). The Registration Status including payment status can be found by accessing the URL sent in the email confirmation, and by entering your registration number and password.

Participants must bring this confirmation to the on-site pre-registration desks of the Congress as proof of their registration.

Cancellation of Registration

Cancellation of Congress registration can be made up until 20 August 2008. Notification of cancellation must be made in writing, preferably by email but also by fax or registered letter to the attention of the IUCN World Conservation Congress Registration Office (c/o JPdL) at the contact details listed below.

Reimbursements of the registration fee paid, less an administrative fee of EUR 50.00, will be made after the close of the World Conservation Congress. There will be no refund of the registration fee for cancellations received after 20 August 2008.

Substitution of Registration (Replacements)

Individuals may in exceptional cases substitute their registration by another colleague of their organization at a cost of EUR 35.00. Written permission from the original participant will be required, along with full contact details (Gender, Full Name, Organization, Job Title, Address, City, Country, Passport #, Nationality, Email, Emergency Contact Name/Phone/Language). After the pre-registration deadline of 25 September 2008, substitution of registration will have to be made on site.

Photo

Every participant will need to upload a passport-size photo for badge printing purposes. Please make sure to have this information at hand before beginning to fill out the on-line registration form. It should not exceed 100KB and must be in jpg format.

A web camera will be available on site for those without access to internet and/or for on-site registration.
 

Badge

Every participant is kindly requested to wear his/her badge during all Congress activities and social/cultural events. Entry will not be permitted without a badge.
Replacement of lost badges incurs a EUR 35.00 administrative charge. This charge will be reimbursed if the lost badge is found and returned.

Badge and Congress documents can be collected from the Registration Area (location and timing to be advised in July 2008).

Languages

Simultaneous interpretation into IUCN’s official languages (English, French and Spanish) will be provided throughout some selected formal sessions of the World Conservation Congress Forum and during the entire formal Members’ Assembly.

Visa and Letter for Visa Formalities

The official website of the Spanish Ministry of Foreign Affairs and Cooperation gives extensive information about visas and it is highly recommended to start the process a minimum of 2 ½ months in advance. Alternatively, we also invite you to visit the www.barcelonaturisme.com/visa.

If a visa is required to enter Spain or any country party to the Schengen agreement, it is strongly advised to register as early as possible.

Attestation letters to assist in visa formalities are designed to help overcome administrative difficulties in certain countries. It must be understood that such letters do not imply any financial support nor a guarantee of a visa. The attestation letter to assist in visa formalities will only be downloadable from the registration system on request and only to participants who have paid their registration fees in full.

Should you wish to receive a letter, please note that your request must be registered as early as possible by filling in the appropriate fields in the on line registration form or by sending an email to iucn-wcc2008-registration@jpdl.com before 15 July 2008 in case it has not been requested at the time of registration.

Certificates of Attendance

Certificates of attendance will only be delivered to active participants and only on site. They will not be sent after the Congress.

Media Centre, Press Accreditation and Registration

The IUCN World Conservation Congress Media Centre will offer the following services:

  • Telecommunication facilities
  • Computers with printers and high speed internet access
  • Extensive press documentation
  • Light refreshments

Location within the Congress venue (CCIB) and its opening hours will be indicated at a later stage.

Entrance to the Media Centre is restricted to working journalists holding a press badge. In order to be granted a complimentary press badge, journalists must register on-line as early as possible, but no later than 25 September 2008 at: www.iucn.org/congress.
